How to Handled a Last-Minute Work Curveball and What You Can Learn From It

You know that moment when everything’s going according to plan… until it suddenly isn’t?
That’s exactly what happened during a project. We were cruising toward a tight deadline—editing visuals, uploading content, inputting data—when one of our teammates unexpectedly got sick. It was nobody’s fault, but it meant we had a decent chunk of the workload up in the air, right when we could least afford it.
Rather than risk missing the deadline or letting the team down, I offered to pick up the extra tasks. It was definitely a lot to take on, especially on top of my usual responsibilities. But with a bit of juggling and a lot of coffee, I managed to get everything done—ahead of schedule, even.
Here are a few things that helped me stay on track, without totally burning out:
💡 1. Sort Out Your Priorities
Before diving in, I made a list of everything that needed doing. Then I asked myself, what absolutely has to happen first? It sounds simple, but just taking a moment to map things out saved me a ton of stress.
🧠 2. Keep Things Organized
Whether you’re a fan of digital to-do lists or sticky notes all over your desk (guilty), staying organized is key. When your workload doubles, clarity becomes your best friend.
🗣 3. Talk to Your Team
I let my team know I was stepping in to cover the gap. Not to toot my own horn, but so everyone was in the loop. It helped manage expectations and gave others a chance to pitch in if needed.
⚡ 4. Find Small Wins
Sometimes it’s motivating to knock out a few quick tasks first. It builds momentum. Plus, anything that gives you a little boost during crunch time is worth doing.
🧘 5. Don’t Forget to Breathe
Seriously—when you’re trying to do everything, it’s easy to skip lunch or work through breaks. Don’t. Take those few minutes to reset. It’ll help you go longer without feeling totally drained.
✍️ 6. Learn From It
Once the project was done, I took a step back and asked: What could I have done differently? What actually worked? Every challenge is a chance to learn something new about how you work under pressure.
At the end of the day, we hit our deadline and kept the quality exactly where it needed to be. But more than that, it reminded me how important it is to be flexible, stay calm, and show up for your team when things don’t go to plan.
Because work doesn’t always go smoothly—and that’s okay. What matters is how we respond when things get messy.
